Sistem Maklumat Pengurusan Ketua Eksekutif (SMPKE), Prime Minister's Office

Our Electronic Document Management System (EDMS) solution has been implemented by SMPKE, Prime Minister Office since 2002. There are 4 departments libraries have been created. Users are consists of Pejabat Perdana Menteri, Pejabat Timbalan Perdana Menteri, Pejabat Seri Perdana and Pejabat KSN.

The main purpose of implementing EDMS in SMPKE is to achieve a “paperless environment” and also to implement the central repository document system. Document security is the main concerns in SMPKE, therefore 2 EDMS environments, namely Open EDMS and Secured have been setup to manage open and classified documents.

The scope usage of the system is mainly to help department users to manage the process of digitizing and tracking of the incoming correspondences received on a daily basis. HB Imaging has been used to scan and OCR the incoming correspondence document digital format. In the middle of 2008, we have successfully upgrade their DM into the most latest DM versions (5.2) in order to support for the new environments configuration changes requirement.

The Sabah State Government

We have initially implemented Electronic Document Management System (EDMS V1) in 5 departments/agencies of Sabah State Government, namely Pejabat Dewan Undangan Negeri Sabah, Bahagian Kabinet dan Dasar, Jabatan Perkhidmatan Komputer Negeri Sabah, Unit Kemajuan IT and Pejabat Setiausaha Kerajaan Negeri. EDMS consists of Hummingbird DM 5.0, Hummingbird DM WorkFlow 5.0 and Hummingbird Imaging. We have subsequently rolled out to another three departments/agencies, which are Kementerian Kewangan Negeri Sabah, Pejabat Hal-Ehwal Dalam Negeri dan Penyelidikan and Unit Fail Jabatan Ketua Menteri. We have completely re-wrote (or developed) the interface module to match the users' requirement and standards of operations for EDMS V2. With our EDMS and the Reinventing Government by the staff of Sabah State Government, we have streamlined the correspondence process and standardized the filing process. We also provide Hummingbird Site License - Unlimited Servers and Clients License for EDMS.

Jabatan Kerja Raya (JKR)

We have implemented the WTDMS (Sistem Aliran Kerja dan Pengurusan Dokumen Teknikal) at Jabatan Kerja Raya. WTDMS is an application we developed for the end user that integrates all the departments together using EDMS. All the departments can receive documents faster and accurate in retrieving documents, thus spending less time in locating documents and saves in printing cost. Moreover, they can deliver the information/documents on the next day, as compare to three days in delivery. We have successfully implemented the EDMS solution which consists of Hummingbird DM, Hummingbird Imaging, and Hummingbird DM WorkFlow. With our EDMS, we have streamlined the correspondence process and standardized the filing process of workflow.

Parliament of Malaysia

This is a corporate-wide application for all document management and workflow applications over local area network and Internet. With our implementation, less paper were printed and thus saving in printing cost. Moreover, the Member of Parliaments can enjoy the Hansard deliver to them on the next day, as compare to three days in delivery. In addition, the past 20 years records were converted into digital format.

Majlis Perbandaran Petaling Jaya (MBPJ)

We have successfully implemented the document management and scanning solution at Jabatan Kawalan Bangunan, Majlis Perbandaran Petaling Jaya (MBPJ). The solution provides users the ability to search, view, download and upload documents into system effectively, efficiently and faster. The benefits of implementing this solution is document can be retrieved more accurately, thus spending less time in locating documents and saves in printing cost. To fill up the content of EDMS and be able to integrate to other systems, we also performed the backlog conversion. The implementation consists of Hummingbird DM, Hummingbird DM WorkFlow and the integration of Hummingbird DM with MPBJ's existing database which resides in Unix. This EDMS will serve as the building block of MBPJ for future applications. With current EDMS, MBPJ is able to store documents into a central repository and retrieve accurate information in a fraction of time.

Ministry of Information (MOI)

This was a standard and successful implementation of the EDMS which is consists of Hummingbird DM, Hummingbird Imaging, and Hummingbird DM WorkFlow. We have successfully delivered the Backlog Conversion and the EDMS. Major development has been done to integrate to their Portal. With our EDMS, coupled with their Portal, the users of MOI is able to search and retrieve relevant information any time and any where.

Kementerian Tenaga Air Dan Komunikasi(KTAK)

A 'paperless' environment with a central repository system was achieved. The implementation of this site consists of EDMS, which is known as the K-Bank using CyberDOCS, CyberDOCS Routing, PowerDOCS Desktop/Explorer, PowerDOCS Imaging, PowerDOCS Routing, and Ascent Capture. Security within the departments was enhanced, along with backlog conversion was carried out. In this project, share information known as K-Bank is core component in the project K-KTAK. Also, security is the main consideration. User group was created and classified to enhance security for better access control to certain highly confidential documents. K-Bank is protected behind a firewall to avoid unauthorized access.

FAMA (Lembaga Pemasaran Pertanian Persekutuan)

Document Management and Document Imaging functionality of PC Docs were deployed to maintain all the records and correspondences. The benefits are fast and accurate in retrieving documents, thus spending less time in locating documents and saves in printing cost.
